Savannah Jaycees 2019 Election Information

Information on positions is outlined below.

According to Article V, Section 5.4 of our by-laws the eligibility requirements for each position are listed as follows:
 
A. Officer - No person shall be eligible for election as an officer unless they have been an active member in good standing at least six (6) months by the time of the election, attended new member orientation, participated as a member on a project and has attended at least fifty percent (50%) of the general membership meetings for six (6) continuous months preceding said election. Allowances may be made under certain circumstances with the approval of the Board of Directors.
 
B. Director - No person shall be eligible for election as Director unless they have been an active member in good standing at least four (4) months by the time of the election, attended new member orientation, participated as member on  a project and has attended at least fifty percent (50%) of the general membership meetings for four (4) continuous months preceding said election.

C. President - No person shall be eligible for election as President unless they have served on the Savannah Jaycees Board of Directors in at least one other position.
 
All officers and directors are to be elected by a majority vote of active members in good standing. For current board members, board meeting attendance will be calculated into the 50% attendance requirement. If a current board member is filling a partial term, only board meetings falling under his or her current term will count toward the 50% attendance requirement.
 
VACANCIES - In the event a vacancy occurs in any office or directorship, the President and the presiding officers for that term shall fill the position with an active member in good standing.
 
Here's a summary of what the duties for each position entail:

President:

The President is the leader of The Savannah Jaycees. The Presidents primary goal, is to fulfill the our Mission: To inspire leadership growth through community involvement. It is the Presidents, responsibility to mobilize our members to act on this Mission. Since Presidents only have one year to lead, they must build on exciting initiatives and strategies which will have an impact while encouraging new ideas and improvements. The President's role is to foster cooperation, nurture a positive outlook and lead with vision.
 
Vice President:

The Vice President will assist the President. The President oversees many responsibilities in the day-to-day management and leadership of the organization. It is the VP's role to assist in these responsibilities according to the President's needs. The role of the President can be challenging, and you have the power to help them solve problems, foster a team spirit and strengthen the organization. Step in for the President when needed, the President may not be able to attend every meeting or every event. They will look to you to step in to chair meetings, supervise and represent the organization. This role also includes supervising the Vice Presidents and leading and motivating members. Secretary:

The Secretary oversees and executes all administrative duties of the the Savannah Jaycees. This role serves as organizer and communicator for the Board of Directors and membership as a whole. The Secretary facilitates effective and efficient meetings, along with the President. Duties include, the time, date, location and focus of the next meeting are confirmed, prepare agenda and email the agenda for members to view well in advance so they can prepare for relevant items, check the meeting space and make sure Hut is setup, technical requirements, Internet availability and/or refreshments are set up. Prepare documents and print any agendas, fliers, sign-up sheets or other documents that might be needed at the meeting. Arrive at least 30 minutes prior to the start of the meeting to check that the tables and chairs are set up properly, as well as any audio-visual equipment and refreshments. Take minutes at the meeting, sit near the person who is chairing the meeting so you can clearly hear all motions and all main points. Record all decisions made at the meeting and any other points stated for the record. Clean-up After the meeting, take any stray papers or items that remain after attendees have left. Send minutes within a few days, work with those in charge of communications to send out meeting minutes to all members. These minutes should include the time, date and location of the next meeting.
 
Treasurer:

The Treasurer manages all of the finances of The Savannah Jaycees. This role is crucial to the structure of the organization because the Treasurer ensures the transparency and solvency of the organization. Local dues management is to manage the collection and payment of dues at the local level.
Collection payment. Once the payment is received, provide a receipt of payment. Be available to respond to questions or concerns from the members.
 
Vice President of Communications:

The Communication Development Vice President is responsible for the supervision of all social media and programs such as Facebook, Twitter, LinkedIn, Google Earth, Constant Contact, and the Savannah Jaycees Website. The Communication Development Vice President is also responsible for ensuring all events and meetings are posted to all social media sites and will be expected to create invites through these sites and for creating and distributing flyers and other correspondence in regards to meetings and events. This position will also be responsible for drafting and distributing press releases and inviting all media to events and meetings. This position will manage public relations and the chapter newsletter. This position is required to schedule and coordinate with the Communications Development committee on all things related to this area of opportunity.
 
Vice President of Community Development:

The Community Development Vice President is responsible for, but not limited to, such programs/projects for the personal development of the individual members and to promote the welfare of the community and its citizens, and may be assigned other duties by the President. The Community Development Vice President is to be heavily involved in the selection of non-profit organizations to assist during the year and in Savannah Jaycees fundraising events. This position is required to schedule and coordinate with the Community Development committee on all things related to this area of opportunity.
 
Membership Development Vice President:

The Membership Development Vice President is responsible for, but not limited to, such programs/projects to promote the recruitment, orientation, activation and retention of the general membership, all projects concerning the "Exhausted Membership", coordinate the quarterly renewal dues to the State organization with the Treasurer and Assistant Treasurer by following-up with individual members up for renewal to ensure a maximum retention level. May be assigned other duties by the President. This position is required to schedule and coordinate with the membership committee on things related to this area of opportunity.
 
Assistant Treasurer:

The Assistant Treasurer shall be responsible for the billing of membership dues, and the expulsion of any member for nonpayment of dues as defined in Article IV Section 4.5. The Assistant Treasurer will maintain the data on members for the national and state roster and provide the Treasurer the amount necessary to maintain current dues. The Assistant Treasurer shall publish in the organization's official newsletter a list of active members and inactive members and their dues status two (2) weeks prior to the annual election and provide a written report to the Elections Committee at the annual election meeting for the purpose of issuing ballots.
 
Director(s):

Shall secure Chairpersons for projects assigned to them, instruct Chairperson's in the preparation of the Project Management Guide, and see that these projects are carried out to a satisfactory conclusion. The Directors shall participate in the management of the organization by their participation as a part of the Board of Directors and may be assigned other duties by the President.
  
Appointed Positions:

Staff Positions:

The President may choose members of this organization who are not members of the Board of Directors to fill positions which shall be known as Parliamentarian, Legal Counsel, Sheriff and Chaplain, said members shall be approved by the Board of Directors. Other staff positions may be added with the approval of the Board of Directors. The PARLIAMENTARIAN is a non-voting Board member who shall be responsible for clarifying the context of these by-laws as needed and for ensuring the use of Robert's Rules of Order during all business meetings of this organization. The LEGAL COUNSEL is a non-voting Board member whose duties shall include the review of legal documents such as contracts, bids, and lease agreements. The appointed personal shall be an attorney- at law, licensed to practice in the State of Georgia and may be an Exhausted Member. Duties may also include other requirements as determined by the Board of Directors and will be conducted with no associated fees. These duties may also include coordinating with external Counsel as necessary. The SHERIFF shall be responsible for collecting Rinds from active membership through the use of fines presented at general membership meetings. This non-voting position shall also be responsible for assisting the President with control of the noise level at all meetings of this organization. The CHAPLIN is a non-voting Board member whose responsibilities include leading the meetings with an invocation, sending cards or other such items to members as needed, and other duties that may be required by the Board of Directors.
 
Election Day:

Elections will be held at the November 8th business meeting. Those running for office will have the opportunity to make their campaign speech at the meeting. We will vote immediately following the speeches. Members must be present to vote.

To qualify to participate on the elections committee, a member must have been a member for six months, in good standing, and not be a candidate for the upcoming election.
 
As committee members, you'll receive all of the position nominations and certify their qualifications. Additionally, the committee will present the candidates for each position and run the election at our November meeting,
